Terms and Conditions

Welcome to Super Trekkers. By booking a trip with us, you acknowledge that you have read, understood, and agreed to the following terms and conditions. These terms constitute a binding contract between the participant and Super Trekkers OPC Pvt Ltd.

Booking and Payments

  • Booking Confirmation: To secure your spot, a non-refundable deposit is required at the time of booking.
  • Final Payment: The full balance of the trip cost must be paid at least 10 days before the departure date. Failure to complete payment may result in the cancellation of your booking.
  • By making any payment (advance or full), the participant confirms that they have read, understood, and accepted all Terms & Conditions listed on the official website.

Cancellation and Refund Policy

  • In case of cancellation, the following refund policy applies:
    • 30 days or more prior to trip departure: 80% of the total trip cost will be refunded.

    • 15-29 days prior to trip departure: 50% of the total trip cost will be refunded.

    • Less than 15 days prior to trip departure: No refund.

  • Processing Time: Approved refunds will be processed within 7-10 working days.

  • In case of cancellations due to unforeseen circumstances or natural disasters, we will make every effort to reschedule the trip or provide a credit for future use.

  • Refund eligibility is strictly governed by the cancellation timeline and force majeure conditions. Non-completion of a trek due to safety, weather, or authority restrictions does not automatically entitle the participant to a refund.

  • Services such as accommodation booking, logistics planning, permits, staffing, transportation coordination, and on-ground support are considered rendered once the trip commences, even if the trek itself is later cancelled.

Force Majeure (Weather & Government Restrictions)

  • Super Trekkers shall not be held liable for cancellations or modifications caused by events beyond our control, including but not limited to: landslides, heavy snowfall, floods, earthquakes, strikes, pandemics, or sudden changes in government/military regulations.

  • Suspension BEFORE the Trip Starts: If a trip is suspended due to extreme weather or government restrictions before the departure date, Super Trekkers will issue a Trek Voucher for the full amount (minus non-refundable permits and taxes already paid). This voucher is valid for six month.

  • Suspension DURING the Trip: If a trip is disrupted or cut short after it has commenced due to weather, road blockages, or safety concerns:

    • No refunds (partial or full) will be issued.

    • Additional Costs: Any extra expenses incurred for emergency accommodation, vehicle hiring, or altered transport back to the base shall be borne entirely by the participant.

  • Additional Expenses: Any extra costs incurred for emergency accommodation, rerouting, or return transport due to these unforeseen events shall be borne entirely by the participant.

Itinerary Changes and Amendments

The nature of Himalayan trekking requires flexibility. Super Trekkers reserves the right to modify, reroute, or shorten the itinerary without prior notice due to:

  • Safety concerns or health emergencies.

  • Weather conditions or trail disruptions.

  • Transportation delays.

  • Note: We are not responsible for any incidental expenses or consequential losses (such as missed flights) resulting from these changes.

Health, Fitness, and Safety

  • Physical Fitness: Trekking involves high altitude and physical exertion. It is the participant’s responsibility to ensure they are medically fit. We reserve the right to offload any trekker showing signs of severe AMS (Acute Mountain Sickness) or physical distress without a refund.

  • Travel Insurance: It is mandatory for all participants to have valid travel insurance that specifically covers high-altitude trekking, emergency medical evacuation (including helicopter rescue), and trip cancellation.

  • Medical Disclosure: Participants must disclose any pre-existing medical conditions at the time of booking.

Liability and Conduct

  • Personal Property: Super Trekkers shall not be responsible for loss, theft, or damage to personal belongings at any stage of the trip, including accommodation, transportation, campsites, or during the trek. Participants are solely responsible for securing their valuables.
  • Assumption of Risk: Participants acknowledge that trekking involves inherent risks. Super Trekkers is not liable for any injury, illness, or fatality occurring during the trip.
  • Code of Conduct: We maintain a strict No Alcohol and No Drugs policy during the trek for safety reasons. Any participant found violating local laws or behaving in a way that risks the safety of the group will be asked to leave the trek immediately with no refund.

Travel Documents and Permits

  • Participants must carry valid ID proof (Aadhar Card/Voter ID for Indians; Passport/Visa for Foreign Nationals).

  • While Super Trekkers assists with permits, it is the participant’s responsibility to provide accurate documentation on time.

Governing Law and Jurisdiction

Any dispute arising out of or in connection with these terms and conditions shall be subject to the exclusive jurisdiction of the courts in Pune, Maharashtra, India.

Super Trekkers holds rights to add/remove any of the Terms and Conditions without prior notice.
